Getting Started

What is MyOrderProfit?

MyOrderProfit is an all-in-one profit tracking platform for eBay sellers. It automatically syncs your eBay orders, calculates real profits after all fees, tracks commissions, and gives you complete visibility into your business.

What you can do

  • Sync eBay orders automatically every 10 minutes
  • See real profit after eBay fees, shipping, and item costs

Quick start

  1. Connect your eBay account in Settings
  2. Set your sync start date
  3. Wait for orders to sync (up to 10 minutes)
  4. Add item costs and commission rules
  5. View your real profit on the Dashboard

Connecting your eBay account

Step 1 — Go to Settings

Click Settings in the left sidebar, then select the eBay Accounts tab.

Step 2 — Click Connect Account

Click the + Connect Account button in the top right.

Step 3 — Choose your sync start date

Before connecting, choose the date from which orders will be imported.

  • Select Today if you only want new orders going forward
  • Select a past date to import historical orders
  • Leave empty to import all orders (not recommended for large accounts)

Step 4 — Authorize on eBay

You will be redirected to eBay's authorization page. Review the permissions and click Agree.

Step 5 — Wait for first sync

After connecting, your orders will begin syncing within 10 minutes. You will see your orders appear on the Orders page.

Multiple eBay accounts

You can connect multiple eBay accounts depending on your plan:

  • Basic — 1 account
  • Pro — 3 accounts
  • Enterprise — 10 accounts

Dashboard overview

Net Profit (Hero number)

The large number at the top is your Net Profit — your total sales minus all eBay fees, shipping costs, item costs, and commissions. This is your real take-home profit.

Supporting stats

  • On Hold — funds eBay is holding, pending release
  • Transferred — funds sent to your bank, all time
  • Connected Accounts — number of connected eBay accounts

Monthly Net Profit chart

Shows your net profit per month for the last several months. Bars are colored for profit vs. loss months.

eBay Accounts breakdown

One card per connected eBay account, each showing order count, sales, fees, profit, commission, and available funds.

Quick Access

Shortcut tiles to the most-used pages: Orders, Amazon, Research, Owners, Payouts, Reports, Settings, Support.

Getting Started Checklist

Complete these steps in order to get the most out of MyOrderProfit.

  1. Connect your eBay account — Settings → eBay Accounts → + Connect Account, authorize on eBay, and set your sync start date
  2. Wait for your first sync — orders begin appearing on the Orders page within a few minutes
  3. Set up Item Tags — Tools → Item Tags → + New Tag, so item costs fill in automatically on new orders
  4. Add item costs to existing orders — for orders already synced with no matching tag
  5. Set up commission rules — Commission → + Add Rule, and mark one as Default
  6. Enable notifications — Settings → Notifications → enable Push Notifications
  7. Explore the analytics tools — Fee Analyzer, Dead Stock, Season Calendar
  8. Try the AI tools (beta) — AI Hub → Listing Writer and Price Suggester

You're set

Your Dashboard now reflects your real profit after all costs — check it regularly to stay on top of your business.

Profit Tracking

Profit calculation

Formula

Net Profit = Sale Price − eBay Fee − Shipping Cost − Item Cost − Packaging Cost

What each field means

Sale Price — the total amount the buyer paid, including any buyer-paid shipping. This comes directly from eBay.

eBay Fee — the total marketplace fee charged by eBay for the transaction, including final value fee, payment processing fee, and any promoted listing fees. This comes directly from eBay.

Shipping Cost — the cost of the shipping label purchased. If the buyer paid for shipping, this may be $0.

Item Cost — your cost to acquire the item. You enter this manually or via Item Tags.

Packaging Cost — cost of packaging materials.

Commission — amount owed to owners or partners based on commission rules. This is separate from Net Profit but tracked alongside it.

Tax Collected

eBay collects and remits sales tax on your behalf. This is shown as informational only — it is NOT deducted from profit because eBay remits it directly, not you.

Available vs On Hold funds

  • Available — money ready to transfer to your bank
  • On Hold — money eBay is holding pending release

Cost Calculator

The Cost Calculator helps you estimate profit BEFORE listing an item, so you can price it correctly.

How to use it

  1. Go to Analytics → Calculator in the sidebar
  2. Enter the Sale Price you plan to charge
  3. Select whether the buyer pays shipping or you pay it
  4. Choose the eBay category (affects fee percentage)
  5. Enter your item cost and packaging cost
  6. Optionally set a target profit margin

What you see

  • eBay Fee — estimated fee based on category
  • Net Profit — estimated profit after all costs
  • Profit Margin — profit as % of sale price
  • ROI — return on investment
  • Break-even price — minimum price to avoid a loss
  • Suggested prices — prices for 10%, 20%, 30% margin targets

eBay Sync

How order syncing works

Automatic sync

MyOrderProfit syncs your eBay orders automatically every 10 minutes. You do not need to do anything — orders appear on their own.

What gets synced

  • Order ID, date, buyer name
  • Sale price and eBay fees
  • Shipping cost and tracking number
  • Order status (pending, shipped, delivered, returned)
  • Fund status (on hold, available)

Sync start date

Each eBay account has a sync start date. Only orders created on or after this date will be imported.

To change the sync start date:

  1. Go to Settings → eBay Accounts
  2. Edit the date in the "Import orders from date" field
  3. Click Save

Manual sync

To trigger an immediate sync, go to Settings → eBay Accounts and click Sync Orders next to the account.

Why are some orders missing?

  • The order was created before your sync start date
  • The order is still "pending" on eBay
  • The eBay token has expired — reconnect the account

eBay token expiry

What happens when a token expires?

eBay access tokens expire every 18 months. When expired, order sync stops automatically and the account shows as "Token Expired" in Settings.

How to reconnect

  1. Go to Settings → eBay Accounts
  2. Click Disconnect on the expired account
  3. Click + Connect Account
  4. Choose your sync start date
  5. Authorize on eBay again

Will I lose my orders?

No. Your existing orders stay in the database. Only new orders since disconnection will be missed. After reconnecting, sync will resume from where it left off.

Auto-refresh

MyOrderProfit automatically refreshes your token before it expires, so in most cases you will not need to manually reconnect.

Commission

Commission rules

Commission rules define how much of each order's profit goes to owners or business partners.

Creating a commission rule

  1. Go to Commission in the sidebar
  2. Click + Add Rule
  3. Configure the rule name, owner, calculation method (% of Net Profit, % of Sale Price, or Fixed Amount), rate, and whether it's the default
  4. Click Save

How commission is applied

  • Default rules apply automatically to all new synced orders
  • You can manually apply rules to specific orders
  • Commission is calculated and stored per order
  • Total commission owed appears in Payouts

Commission vs Profit

Commission is tracked separately from Net Profit. Net Profit is calculated BEFORE commission deduction. The "Final Profit" (after commission) is shown separately.

Owner payouts

The Payouts page shows all commission amounts owed to owners and lets you record when payments are made.

Recording a payment

  1. Go to Payouts
  2. Find the owner's pending amount
  3. Click Mark as Paid
  4. Enter the payment amount and date
  5. Add a note (optional)

Payout status

  • Pending — commission earned, not yet paid
  • Paid — payment has been recorded
  • Overdue — past the expected payment date

Export payouts

Use the Export button to download payout records as CSV for your accounting records.

Warehouse

Warehouse module

The Warehouse module is available on Enterprise and Unlimited plans. It lets you manage inventory, fulfill orders, and handle returns for your own warehouse or as a 3PL (third-party logistics) provider.

Key features

  • Inventory management — track stock levels for all items
  • Barcode scanning — scan items with your phone camera
  • Fulfillment orders — pick, pack, and ship orders
  • Returns processing — handle returned items and restock
  • Purchase orders — create POs for suppliers
  • Client management — manage inventory for multiple clients
  • Labels — generate shipping labels

Getting started with warehouse

  1. Go to Warehouse in the sidebar
  2. Add your warehouse clients
  3. Add inventory items for each client
  4. Create fulfillment orders as sales come in
  5. Process returns as they arrive

Inventory management

Adding inventory items

  1. Go to Warehouse → Inventory
  2. Click + Add Item
  3. Enter title, SKU or barcode, condition, quantity, cost price, and client
  4. Click Save

Barcode scanning

Use the barcode scanner on your phone to quickly add or find items — allow camera access and point it at the barcode.

Inventory transactions

Every stock change is logged automatically: Received, Shipped, Returned, and Adjusted.

Low stock alerts

When inventory falls to 0, you will receive a notification and the item will be highlighted in red on the inventory page.

Fulfillment Orders

Fulfillment orders track the pick, pack, and ship process for each sale your warehouse processes on behalf of a client.

Creating a fulfillment order

  1. Go to Warehouse → Fulfillment
  2. Choose the client whose inventory to use
  3. Choose the channel — eBay, Amazon, Shopify, Walmart, or Manual
  4. Enter the buyer's shipping information
  5. Add items — search inventory by title/SKU; quantity decrements automatically
  6. Enter costs: fulfillment fee, packaging cost, shipping label cost
  7. Save — the order starts in Pending status

Fulfillment order statuses

Pending → Picking → Packed → Shipped → Delivered (or Cancelled, which restores inventory automatically).

Billing

Each order tracks total cost, the selling price you charge the client, the resulting profit, and a billing status — Unbilled, Billed, or Paid.

AI Listing Writer

Generate professional, keyword-rich eBay listing titles and descriptions in seconds.

How to use it

  1. Go to AI Features → Listing Writer
  2. Enter the product name
  3. Select the condition (New, Used, etc.)
  4. Add key features (comma-separated)
  5. Add keywords you want included
  6. Set a target price (optional)
  7. Click Generate Listing

What you get

  • Title — up to 80 characters, keyword-rich
  • Description — 200-300 word HTML description
  • Bullet points — 5 key selling points
  • Suggested price — AI-estimated market price
  • SEO tips — suggestions to improve visibility
  • Category suggestion — recommended eBay category

AI Price Suggester

Get optimal pricing recommendations based on market conditions to maximize your profit on every listing.

How to use it

  1. Go to AI Features → Price Suggester
  2. Enter the product name
  3. Select the condition
  4. Add key features
  5. Enter your item cost and shipping cost
  6. Set your target profit margin using the slider
  7. Click Get Price Suggestion

What you get

  • Suggested price — optimal selling price
  • Price range — min and max competitive prices
  • Confidence level — HIGH, MEDIUM, or LOW
  • Profit breakdown — fees, costs, and net profit at suggested price
  • Pricing strategy — competitive, premium, or quick sale
  • AI reasoning — explanation of the recommendation

Bundle Profit Calculator

Calculates whether selling items as a bundle gives more profit than selling them individually.

Adding items

Go to Tools → Bundle Calculator. Click + Add Item for each item you're considering bundling and enter its sale price, item cost, and eBay fee rate.

Bundle settings

Enter what you'd charge if sold as a bundle: bundle sale price, shipping cost, and eBay fee rate.

Results

The calculator updates live as you type, showing the revenue, fees, costs, and profit for selling individually side-by-side with selling as a bundle — so you can see immediately which nets you more profit.

When bundles make sense

  • When you can charge a premium for the convenience of one purchase
  • When shipping multiple items together costs less than shipping separately
  • When a slow-selling item can ride along with a fast-selling one

Troubleshooting

Orders not syncing

Step 1 — Check your sync start date

Go to Settings → eBay Accounts and check the "Import orders from date" field. Orders before this date will NOT be imported.

Step 2 — Check your eBay token

If your token is expired, orders will not sync. Reconnect the account if the token has expired.

Step 3 — Wait 10 minutes

Orders sync automatically every 10 minutes. If you just connected, wait for the first sync.

Step 4 — Manual sync

Click Sync Orders in Settings to trigger an immediate sync.

Still not working?

Contact support with your eBay username and the order IDs that are missing.

Profit seems incorrect

Missing item costs

If item costs are $0, your profit will appear too high. Add item costs manually on the order detail page, or set up Item Tags for automatic cost matching.

eBay fees not showing

eBay fees are synced from eBay's API. If fees show as $0, the order may still be processing on eBay — wait 24-48 hours or manually sync the account.

Shipping costs

Shipping costs are only available if you purchased a shipping label through eBay. If you used another carrier, enter the shipping cost manually.

Tax showing in expenses

Tax collected is shown as informational only. eBay remits tax directly — it is NOT deducted from your profit.

Commission not applied

Check that commission rules are set up and marked as Default, or manually apply the rule to specific orders.

New orders not appearing

Check your sync start date first

The most common cause — your sync start date is set to a date after the order was placed. Check Settings → eBay Accounts → "Import orders from date".

Wait a few minutes

Orders sync automatically in the background. If the order was just placed, wait a few minutes and refresh.

Check token status

If your eBay token has expired, sync stops. Disconnect and reconnect the account.

Trigger a manual sync

Go to Settings → eBay Accounts and click Sync Orders next to the account, then check the Orders page again.

Check the account filter on Orders

Make sure the account filter on the Orders page isn't scoped to a different eBay account — set it back to "All accounts".
